Just before sitting down to write this blog, I had just finished a strategy session with a new client in the UK. I was in Nebraska and they were in England. Even though I am not really a fan of technology at times, the virtual meeting worked, was impactful, and well, was fun. As much as I dislike technology, there are times and situations that require it to get the job done. I have learned to embrace it and can say now that I really do love it.

Here are some simple tips for running a powerful and productive virtual meeting:

  1. Be prepared. Test all your equipment in advance. This leaves little room for last-minute technology surprises.
  2. Have good quality video. Make sure you have exceptional video, particularly with regards to internet speed and a camera. I recommend The Meeting Owl for a conference camera tool.
  3. Check your audio. Ensure your audio is connected on both ends, is clear, and the volume is working and adjusted properly.
  4. Upsize your equipment. Invest in a large screen so you can project the other team onto it. I have two 60-inch monitors in my session space, which helps a lot.
  5. Test your screen(s). If you are going to share screens and/or you use multiple screens, I strongly suggest to test, test, and test again.
  6. Be as present as possible. Actively listen. Read faces and body language. Try not to get distracted (keep your own devices in airplane mode, for example).
  7. Be inclusive. If you can’t see everyone in the video frame, write their name on a piece of paper and hang it on a chair so you don’t forget them.
  8. Know your material. This is extremely important. If you don’t know your material well and your technology glitches out, it can throw you off or be a distraction.
  9. Don’t freak out. Be ready early and get your Zen on. If something goes wrong, don’t worry, roll with it.

I am not 100% sure where the technological future is headed, but I am certain it will continue to evolve, and virtual meetings will be a part of that future. Learning how and when to use it can expand your horizons and your global reach, thereby empowering you to help more people.
